Projects and Operations Officer

Reports to: Projects Manager and Operations Manager
Position Overview
The Projects and Operations Officer will support the effective coordination of projects and internal operations. The role requires strong organizational, analytical, and administrative skills, with the ability to manage multiple priorities in a fast-paced environment.
The Officer will work closely with the Operations Manager, Project Manager, and Projects and Operations Senior Officer to ensure smooth project implementation and efficient day-to-day operations.
Key responsibilities
Project Support
- Support project planning, implementation, and follow-up activities
- Maintain accurate project documentation, including contracts, reports, and administrative records
- Assist in drafting and reviewing consulting agreements and project-related documents
- Contribute to the preparation and submission of grant proposals, ensuring alignment with donor requirements and deadlines
- Conduct desk research and support the preparation of analytical reports and project deliverables
- Track project timelines, deliverables, and key milestones
- Assist in budget monitoring
- Ensure proper filing, documentation, and archiving of organizational records
- Perform other duties as assigned by management
Operations Support
- Provide day-to-day administrative support to ensure smooth office operations
- Coordinate travel logistics, including flights, accommodation, and itineraries
- Manage office supplies, procurement processes, and basic facility needs
- Support internal communication and coordination across teams
- Support external communications and track related deliverables
- Organize meetings, prepare agendas, and draft minutes
- Support the organization of internal and external events, workshops, and meetings
- Ensure proper filing, documentation, and archiving of organizational records
- Perform other duties as assigned by management
Qualifications
Required
- Bachelor’s degree in business administration, international development, public administration, or a related field
- A minimum of 2 years relevant professional experience in project coordination, operations, or administrative roles
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Ability to manage multiple tasks and meet deadlines
- Fluency in English and French
